On September 25, the United States Citizenship and Immigration Services (USCIS) published a fantastic new training tool for employers, Form I-9 Webinar On-Demand. Employers can watch all or part of the free, 22-minute webinar at their convenience. It covers 14 chapters, and is full of easy-to-follow instructions for the completion of Form I-9 sections 1, 2, and 3. The video can be found on the USCIS’ I-9 central website, along with a variety of useful tools and discussions on I-9 forms and employers’ legal obligations, plus an overview of E-Verify.

Chapter 11 of the webinar offers a useful formula for calculating how long an employer must keep I-9 forms on file. All employers can benefit from understanding the formula, and should make it part of their I-9 policy and training materials. The video also contains a variety of best practices for employers regarding comprehensive and healthy I-9 policies and programs. These include duplicating the acceptable documents presented by employees.

Employers should make webinar viewing mandatory for all human resources staff responsible for I-9 completion and form maintenance. They may also want to make the link,http://www.uscis.gov/i-9-central/form-i-9-webinar-demand, readily available on any company human resources websites to ease training and refresh staff members’ I-9 completion and form maintenance knowledge. This link discusses the importance of regular internal audits; and provides steps for correcting errors on the forms and for handling missing I-9 documentation for employees. Additionally, the webinar touches on the relationship between I-9 obligations and E-Verify.
