Ascertus Limited, a provider of document and information lifecycle management solutions to law firms and corporate legal departments, has entered into a partnership with Legal RM, a specialist in records management consultancy and software development ; to help customers effectively manage electronic and physical records for the General Data Protection Regulation (GDPR) compliance.
Legal RM will provide its experience and skills to support Ascertus and help the company implement the iManage Records Manager system for customers as they ready their businesses for GDPR compliance, as of May this year when the regulation comes into force. Consultancy from Legal RM will primarily focus on records audit and analysis, records management policy development and process design. The partnership will also allow iManage Records Manager clients to benefit from Legal RM’s Mobile Records Center and Lifecycle suite of applications to further enhance their compliance obligations as well as accrue efficiency gains.
Explaining the reasons for this alliance, Roy Russell, CEO of Ascertus Limited said, “GDPR compliance isn’t a one-off activity, it will need to be a core component of law firms’ information governance programmes for the foreseeable future. Therefore, it’s vital that records management is tailored to the specific requirements of individual firms. We have an in-depth understanding of iManage Work and iManage Records Manager, and with Legal RM’s expertise and experience in the consultative analysis of records management applications; our customers can be assured that their solution will be geared to their way of working. We are not shy of reaching out to industry leaders for specialist skillsets that we don’t have internally, delivering a quality service is of the utmost importance to us.”
Legal RM works with some of the largest law firms in the UK, including Browne Jacobson LLP, Shoosmiths LLP, Clyde & Co LLP, Baker & McKenzie LLP, Clifford Chance LLP, and Allen & Overy LLP, to name a few. Legal RM is also an iManage technology partner.
Christopher Giles, Managing Director at Legal RM, commented, “Ascertus is a well-respected name in the industry, with a growing reputation for understanding clients’ needs. We are partnering with them to help customers towards their GDPR compliance whilst streamlining business processes. Both organisations are also like-minded – Ascertus laysthe same emphasis on quality, customer service and support, as we do.”
Ascertus customers implementing iManage Records Manager in conjunction with their iManage Work email and document management systems will gain complete visibility and control of electronic and physical client records. This will provide a seamlessly integrated, comprehensive and best practice-led retention and destruction policy for internal and GDPR compliance efficiently and cost-effectively. Administrators at law firms will be able to set governance policies, including trigger events, retention periods and disposition rules, as well monitor and enforce compliance on both records and nonrecords. The benefits of such an approach will go beyond compliance – with an in-depth knowledge of data, firms will be able to extract information for re-use and competitive advantage too. Most importantly, law firms will be able to bench-mark their efforts against industry best practices.
“With the GDPR deadline fast approaching, law firms are crying out for reliable assistance,” Antony Wells, Senior Account Manager at Ascertus Limited, said. “Many document management system vendors partner with third party records management application providers, but poor integration is often a stumbling block. Also, while these systems are good at electronic records management, they aren’t able to effectively manage physical records. This presents a huge challenge for firms as with GDPR, ALL records need to be managed in order to achieve compliance. The iManage Work and Records Manager combination provides professionals with a single place to find the information they are looking for.”
